Abstract

The article examines the functioning of etiquette formulas in Polish business letters as a key component of official business communication. A Polish business letter is viewed as a conventionalized genre with a normatively established structure that performs not only an informative but also a regulatory function, determining the tone of interaction and the social distance between communicators. The study analyzes the historical origins of Polish linguistic etiquette, in particular the influence of the noble culture of the 17th–18th centuries and the Latin rhetorical tradition, the legacy of which is reflected in the continued attention to titles and forms of address.
The paper identifies the factors influencing the choice of etiquette formulas in contemporary business correspondence, namely the addressee’s status, the level of social distance, and the degree of imposition of the message. Normative reservations regarding the use of certain formulas in email correspondence, specifically the salutation Witam, are discussed, along with tendencies toward linguistic economy and pragmatic politeness.
The study also analyzes modern syntactic means of mitigating statements, the role of conditional and impersonal constructions in maintaining a neutral official tone, and changes in the regulation of social distance, including the acceleration of the transition to informal forms of address. Particular emphasis is placed on the phenomenon of gender inclusivity and the active normalization of feminine professional titles (feminatives) in Polish business correspondence. The study concludes that contemporary Polish business etiquette combines traditional norms of politeness with the pragmatic requirements of digital communication, prioritizing effectiveness, clarity, and respect for the addressee.
